Nexa is a team messaging app operated by NewEra Inc. ("we"), with AI assistants integrated into chat channels. This policy explains how we collect, use, and protect your personal data.

1. Data we collect

• Account & profile: name, email, phone number, department, avatar.
• Chat content & files: messages, attachments, conversation history in channels.
• Data sent to AI: the messages you send within a conversation with the AI assistant (and the assistant's replies), only after you give consent in the app.
• Analytics & device: crash logs, IP address, device type, push notification token.

2. How we use data

To provide and operate the messaging service; process requests to the AI assistant; ensure security and prevent abuse; improve quality; comply with legal obligations.

3. AI assistant & third parties

When you chat with the AI assistant, the data sent to Anthropic (a third-party AI model provider) for processing and returning results is: the messages you send within a conversation with the AI assistant and the assistant's replies in that conversation. Messages in other channels and direct messages are not sent to Anthropic. Data is only sent after you give your consent in the app, before your first use of the AI assistant.

Anthropic is contractually bound under a data processing agreement to provide the same or equal level of data protection as this policy, and we require the provider not to use your data to train models. We share data only with processors necessary to run the service (hosting infrastructure, analytics, AI); these processors are likewise bound to equivalent data protection obligations.

4. Storage & security

Data is stored with reasonable technical and organizational measures (encryption in transit, access controls). No system is perfectly secure.

5. Retention

We retain data for as long as necessary to provide the service. After an account is deleted, personal data is removed within 30 days, except where retention is legally required.

6. Your rights (Decree 13/2023/ND-CP)

You may access, correct, or delete your data, withdraw consent, restrict or object to processing, and lodge complaints. Contact support@newera.inc to exercise these rights.

7. Children

Nexa is an enterprise tool and is not intended for or directed at children.
